Office Manager

Job Summary:

The Office Manager is responsible for managing and completing critical operational and financial tasks that ensure the smooth functioning of Chesterfield Day School. The Office Manager is a full time, year round position that will report to the Head of School and work closely with the school’s senior Administrative Team.

Desired characteristics:

A quick learner with excellent problem solving skills and technological know how. This individual should be energetic and enjoy being around children. They can bring structure and process to any task. The right individual for this position will understand customer service and makes it a priority in every action. This individual’s Microsoft Office product knowledge (Outlook, Word, and Excel) must be very strong. Experience with Quickbooks is a plus. Excellent time management and the ability to self-start and self-manage are critical.


Assist the Head of School and Board of Trustees

  • Serve as assistant to the Head of School to effectively manage his/her calendar and complete special projects that he/she assigns on as-needed basis.
  • Serve as assistant to the Board of Trustees and manage its calendar and complete special projects on as needed basis.

Organize the Work and Data of the Senior Administrative Team

  • Manage the calendars of the Senior Administrative Team
  • Effectively administer and maintain administrative database applications within the school.
  • Complete special projects for Senior Administrative Team on an as-needed basis.

Assist the Director of Finance and Administration

  • Respond to inquiries from parents and other parties regarding accounting matters.
  • Process all Accounts Payable invoices for payment in compliance with accounting standards and school policies and procedures.
  • Administer purchase requisition process to ensure approved authorization of expenditure of funds. Follow-up with vendors as necessary to address delivery and quality issues as needed.
  • Maintain all accounting files in a orderly and systematic manner including student accounting records.
  • Maintain student accounting in the financial system in compliance with school policies and procedures.
  • Email student account statements to responsible party monthly.
  • Process bank deposits in compliance with all accounting requirements and school policies and procedures.
  • Maintain complete new hire packet including all benefits enrollment and payroll forms for distribution to new hires no later than their first day of employment.
  • Prepare and distribute monthly budget reports for responsible parties.
  • Maintain focus and communicate recommendations on opportunities for improvements in efficiency and reduction in costs.

School Receptionist

Job Description:

The School Receptionist serves as the first point of contact for current and prospective parents both in person and over the phone and serves as the “face of the school”. He/she will assist our students with heaLth-related issues. He/she will complete daily administrative tasks essential to the smooth operation of our school.

Desired Characteristics

A warm and engaging personality. The ability to effectively communicate with children and adults alike. The ability to handle multiple requests for information at one time from various visitors to the school and internal members of our community. Strong ability to determine one’s needs and deliver that information. Strong verbal and written skills. Experience with Microsoft Office including Outlook, Word and Excel. An aptitude to learn other administrative database applications.


  • Being present at the Front Desk of the School from 7:30 am to 4:00 pm on school days when the school is open.
  • Serving as the first point of contact for current and prospective parents both in person and over the phone and skillfully providing answers or directing them to the person who may answer their question.
  • Assisting our students with health-related issues. Basic First Aid and CPR are required.
  • Maintaining our administrative databases. School will pay for training.
  • Creating and tracking registrations for several events and extracurricular classes at Chesterfield Day School throughout the school year.
  • Managing Outlook and Website calendars for the school.
  • Assisting with other day-to-day activities that support the employees of the school including laminating school and classroom materials.
  • Serving as the point person for other administrative tasks. Examples could include:

a. Assisting parents with the scheduling of visits to classrooms.

b. Assisting parents with the scheduling of Parent-Teacher Conferences

c. Managing the school database for emergency (e.g.: snow day) communication.

d. Scheduling and planning logistical details of school pictures.

e. Planning the logistical details of school events such as graduation.

f. Compiling transcript information for secondary school information.

g. Working with a third party company to design and produce our annual school yearbook.

  • Other tasks identified by the Head of School or Senior Administrative Team

Compensation and Benefits

Compensation will be determined based on experience. A competitive benefit package including health care insurance, retirement, and 65% tuition remission as a benefit for qualified children of full-time employees.
